Newinbosch Medical Centre is committed to protecting your privacy and ensuring your personal information is processed lawfully, transparently and securely, in line with South Africa's data protection and healthcare laws.
This policy covers how we collect, use, disclose, store and protect your information when you visit our website, book appointments, submit forms, register as a patient, receive our services, or communicate with us electronically or by phone.
Information Officer: Betty Hardcastle, Hyperclear Kaleidoscope Consulting (Pty) Ltd, 2nd Floor, Block D, Capital Place, 16 Neutron Road, Technopark, Stellenbosch, 7600. Email: betty@kaleidoscopesa.co.za.
We gather this information directly through forms, appointments, registrations, emails and consultations; automatically via cookies, analytics and security logs; and from authorised third parties such as referring practitioners, specialists, laboratories, radiology providers, medical aid schemes, and authorised family members or guardians.
We process personal information where it is necessary for the provision of healthcare, the performance of a contract, compliance with the law, the protection of vital interests, your consent (where required), and the administration of healthcare services.
We may share your information with treating doctors, specialists, laboratories, pharmacies, radiology providers, medical aid schemes, debt-recovery providers, payment processors, IT service providers, cloud hosting providers, and regulatory authorities where legally required.
We do not sell your personal information.
We retain personal information only for as long as necessary to provide healthcare services, meet legal requirements, resolve disputes and enforce agreements, and to maintain clinical records. Information that is no longer required is securely destroyed or de-identified.
We apply reasonable technical and organisational safeguards, including HTTPS encryption, password-protected systems, role-based access controls, staff confidentiality obligations, secure backups, anti-malware protection, audit logging and incident-response procedures. However, no electronic system can guarantee complete security.
You may request access to your personal information, correction of inaccurate data, deletion where legally permitted, objection to certain processing, withdrawal of consent, restriction of processing, and to lodge a complaint about the misuse of your information.
Essential (always on): we use Cloudflare Turnstile to protect our forms from spam and abuse. This is strictly necessary for the forms to work and does not require your consent.
Analytics (only with your consent): with your permission we use Google Tag Manager and Microsoft Clarity to understand how the site is used and improve it. These load only after you accept our cookie banner, and Microsoft Clarity is never active on the appointment and contact pages where you enter personal details. We also use Vercel Web Analytics, which is cookieless and does not identify you.
You can change or withdraw your choice at any time using the “Cookie preferences” link in the footer.
If we discover a security compromise affecting your personal information, we will take appropriate steps in line with applicable law, including any legally required notifications.
For minors, we may collect information from parents, legal guardians or authorised caregivers, and process it in line with applicable healthcare and privacy laws.
Our website may link to external websites. We are not responsible for their privacy practices.
If you believe your information has been processed unlawfully, please contact our Information Officer first. You may also lodge a complaint with the Information Regulator of South Africa.
We may update this Privacy Policy from time to time. The latest version and its effective date will always be available on this page.
